Getting acquainted and thorough assessment

The first steps are about building trust and mutual understanding.

  • First online meeting: We get to know each other, discuss challenges, goals and expectations. It's important that both sides speak openly about what they want from working together.
  • A mutual decision: Not every company is right for us, and we're not right for everyone. We'll tell you honestly if we don't think we can help.
  • Letter of intent and NDA: We start with a 30-day letter of intent, which provides the framework of trust for both parties.
  • Team setup: We identify the responsible people on both sides and establish communication channels.

Understanding how you actually work

This is where the real work begins — understanding how things truly operate.

  • Developer sandbox access: You get a glimpse into the platform's possibilities, though yours will look quite different.
  • On-site presence: We come to you and observe how real work happens in 2–4 hour blocks. One to three visits, as needed.
  • Process mapping: We document and map every workflow — who does what, when, and why.
  • Uncovering hidden needs: Often something comes up: "Oh right, we actually do it this way..." — we need to understand these things too. And early on.

Building your custom system

This is where the platform that will truly be yours takes shape.

  • Setting up your own environment: We establish a separate, isolated system built exclusively around your needs.
  • Joint customisation: We work together on personalisation — look and feel, menus, workflows.
  • Loading your own data: Your products, partners and data are imported into the sandbox environment.
  • Agile testing: We try things, adjust, fine-tune — until everything is optimal.

Connecting and preparing

Both the technical connections and the people preparation are critical.

  • APIs and integrations: We connect your webshop, invoicing system, email — everything you use.
  • Comprehensive training: An ongoing process throughout, but with special emphasis here — everyone learns their own role.
  • Data cleansing and stocktake: If inventory management is involved, we want to start from a clean, accurate baseline.
  • Test runs: We don't go live until everything has been tested multiple times.

Safe go-live

Even when everything is ready, we don't leave you on your own.

  • Clean data load: After testing, we go live with fresh, organised data.
  • Gradual transition: We don't switch overnight — the old and new systems run in parallel for a period.
  • Intensive support: In the first weeks, we pay extra attention to how things are running.
  • Continuous fine-tuning: During the first period of real use, we're still adjusting if needed.
